Terms of Service

These terms govern your use of OctoRoles (“the Service”), operated by The O’Brien Consultancy Ltd, trading as OctoRoles, based in Oxford, United Kingdom.

By creating an account or using the Service, you agree to these terms. If you do not agree, do not use the Service.

1. What OctoRoles provides

OctoRoles is a job application optimisation platform. The Service helps you find relevant job roles, assess how well your profile matches those roles, prepare tailored application documents and track your applications. The Service uses AI language models to analyse and generate text as part of these features.

2. Your account

You must provide accurate information when creating your account. You are responsible for maintaining the security of your login credentials. You must notify us immediately if you become aware of any unauthorised access to your account. We reserve the right to suspend or terminate accounts that violate these terms. You may also connect third-party accounts such as Google or LinkedIn to OctoRoles. You can disconnect these at any time through your account settings or through the third-party provider’s settings.

3. Acceptable use

You agree not to use the Service to submit false or misleading information in job applications, attempt to gain unauthorised access to any part of the Service, use the Service for any unlawful purpose, resell or redistribute any part of the Service without our permission, or use automated tools to scrape or extract data from the Service.

4. AI-generated content

The Service uses AI language models to generate suggestions, scores and rewritten text. AI-generated content is provided as a starting point. You are responsible for reviewing, editing and approving any content before using it in a job application. We do not guarantee that AI-generated content will be accurate, complete or suitable for any particular role. We do not guarantee that AI-generated content will pass any specific screening or detection system.

5. Your content

You retain ownership of all content you upload or create using the Service, including your CV text, cover letters, profile information and notes. By using the Service, you grant us a limited licence to process your content solely to provide the Service to you. We do not use your content to train AI models. We do not share your content with other users.

6. Subscriptions and payments

Some features of the Service require a paid subscription. Subscription pricing, features and billing frequency are displayed before purchase. Payments are processed by Stripe. We do not store your payment card details. You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing period. We may change subscription pricing with 30 days notice.

7. Availability and support

We aim to keep the Service available and reliable but do not guarantee uninterrupted access. We may temporarily suspend the Service for maintenance, updates or to address technical issues. We will make reasonable efforts to provide advance notice of planned downtime.

8. Limitation of liability

To the fullest extent permitted by law, OctoRoles is not liable for any indirect, incidental or consequential damages arising from your use of the Service. This includes but is not limited to loss of employment opportunities, loss of data or loss of business. Our total liability for any claim related to the Service is limited to the amount you paid us in the 12 months preceding the claim. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under English law.

9. Intellectual property

All intellectual property rights in the Service, including software, design, branding and documentation, belong to OctoRoles. You may not copy, modify, distribute or reverse engineer any part of the Service. The OctoRoles name, logo and Inky mascot are our trademarks.

10. Changes to these terms

We may update these terms from time to time. We will notify you of significant changes by email or through the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated terms.

11. Termination

You may close your account at any time. We may terminate or suspend your access if you breach these terms. On termination, we will delete your personal data in accordance with our Privacy Policy.

12. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
